Description: Duties include:Communicate with other departments to expedite the processing of documentsPrepare and print materials such as letters, memoranda, forms, using computers and relevant peripheral equipmentCompose and respond to email correspondenceProofread and edit documents for accuracy, formatting and completenessFile maintenance and report generationCollect information or data from various sources; file and retrieve standards and publicationsUpdate existing filesCreate and/or maintain records and filing systemsSchedule meetings via Outlook, Teams and ZoomRetrieve and format electronic data; compile and merge data from various media and sourcesProcess various formsPrepare charts, graphs, or tables for presentations, reports, and interoffice communicationsInteract with staff and administration throughout MTA Construction & Development Business UnitsSupport reserving conference rooms for meetings, if neededPrepare reports using information received from various sourcesCommunicate with mailroom personnel as needed
Requirements: A Bachelor's Degree plus 2 years of full-time experience in one or more of the following areas: economics, finance, accounting, business or public administration, human resources management, management science, operations research, organizational behavior, industrial psychology, statistics, personnel administration, labor relations, psychology, sociology, human resources development, political science, urban studies or a closely related field OR A Master's Degree in those areas indicated above. Two years of satisfactory full-time professional experience preferred, in one or a combination of the following areas: working with executive-level managers researching, organizing, tracking and possibly presenting complex information, such as: management analysis; finance/budget information; organizational research or program evaluations Must have the requisite degree/years of analytical, budgetary, and/or administrative experience in a busy, high demand, deadline-oriented environment.Ability to prioritize workload according to volume and urgencyStrong written and verbal communication and analytical skillsGood organization skills and attention to detailGood interpersonal skillsAbility to handle multiple tasks effectively and accuratelyHave excellent MS suite skills, especially EXCEL, OUTLOOK, AND WORD including TEAMS, and SHAREPOINT in document preparation.Experience with scheduling meetings on ZOOMBe comfortable multi-tasking and available to work overtime when requiredClearly organize, write, communicate program/project information and reports with attentionAbility to set and meet project deadlinesBe proactive, flexible and responsive L.
