Location: Bayonne, N
Description: Sort and distribute the facilities daily mail. Set up and type correspondence originating from the offices of the Director of Administration and Director of Operations; issue facility wide emails as needed. Organize company events i.e., picnics, holiday gift raffle, retirement luncheon, hospitality coordination for on-site meetings and customer visits. Order office and coffee supplies and maintain order in supply room. Generate and maintain contractor Master Service Agreements under the direction of the Director of Administration and Director of Engineering. Maintain supplier records for UZ-4 and UZ-5 tax exemptions. Assist the Director of Administration with the yearly budget and quarterly LBE submissions. Assist the Director of Administration with transaction cleanup to ensure accurate record keeping. Assist booking labor to work orders, as needed. Prepare any ad-hoc analysis required by the Director of Administration or Director of Operations. Assist other departments as needed. Perform any other duties assigned by supervisor.
Requirements: *High School Diploma *Associates Degree preferred Skills, Abilities, Special Licenses or Certificate: *Minimum five years administrative support experience *Proficient in Excel and Word *TWIC (Transportation Workers Identification Credentials) Equipment Used in Job Performance: *Computers and general office equipment Working Conditions and Environment/Physical Demands: *Clear and concise written and verbal communication skills in the English language. *Ability to understand written and verbal communication in the English language. *Ability to work in an office environment. *Ability to make decisions in a variable environment. *Ability to communicate with all other terminal departments. *Ability to type. *Phone and personal etiquette. *Ability to work overtime as needed.
